Payment Policy

This payment policy explains how you pay for a licensed private hire ride with Kelpies Cabs: local taxi bookings in Falkirk, airport taxi transfers, Day Highlights visits, and corporate account journeys. It forms part of our contract with you, together with the Terms & Conditions and Privacy Policy.

Prices are in pounds sterling (GBP). The fare for a booking is the quoted price we confirm, plus any extras we agree with you before they are provided (extra stops, extra waiting, airport drop-off fees, and similar).

1. Ways you can pay

When we accept a booking we set one of these methods:

  • Pay the driver — cash or card in the vehicle at the end of the ride. This is the default for public online bookings.
  • Pay online in full — we send a Stripe pay link for the quoted fare. Once it is paid, the driver does not collect.
  • Deposit online — you pay a deposit on the link; the driver collects the remaining balance in the car.
  • Monthly invoice — authorised corporate, school or frequent-traveller accounts. The driver does not collect. Journeys appear on the next invoice.

The public booking form does not take a card on the website. If we need a card payment before travel, we email a pay link. You will see which method applies on your confirmation.

2. Paying the driver (cash or card)

Pay the quoted fare at the end of the journey unless the confirmation says otherwise. Drivers may accept cash and/or card. We do not require you to pay in cash only.

We do not add a surcharge for paying by consumer debit or credit card. UK law restricts card surcharges on most consumer payments (the Consumer Rights (Payment Surcharges) Regulations 2012). If a card machine is unavailable, you may pay cash for that ride or we will agree another way to collect the fare.

Tips are optional and are not part of the quoted fare.

3. Paying online

Online payments are taken through Stripe Checkout. You pay on Stripe’s secure pages. We do not see or store your full card number. Stripe’s minimum for GBP is 30 pence, so we cannot take an online payment below that amount.

The pay link is tied to your booking. Do not forward it to someone else unless they are paying for that same ride. If a payment is cancelled or fails, the booking may still be active: contact us or pay the driver as instructed on the confirmation.

When the link shows as paid, that amount is applied to the fare. For a deposit, the driver collects only the remaining balance. For a full prepayment, the driver collects nothing for the quoted fare (extras agreed later are still payable).

4. Deposits

We may ask for a deposit on longer jobs, airport taxi at busy times, or where a vehicle is reserved for you. The deposit amount is shown on the pay link and confirmation. It is part of the fare, not an extra fee, unless we say otherwise.

If you cancel in line with the free-cancellation rules in our terms, we refund the deposit. If you cancel after dispatch or you are a no-show, we may keep the deposit up to the reasonable abort cost described in the terms (never more than the quoted fare).

5. Corporate and account invoices

Account customers are billed monthly, typically on net 7, net 14 or net 30 terms agreed when the account is opened. There is no minimum contract length to open an account. Invoices are itemised by journey. Queries must be raised promptly so we can correct an error before the next cycle.

Late payment may lead to the account being paused and future jobs being taken as pay-in-car or prepaid until the balance is cleared. We may charge statutory interest on overdue business debts where the Late Payment of Commercial Debts (Interest) Act 1998 applies.

6. When the amount can change

The confirmed quote is the fare for the journey you booked. It can increase only if you ask for extra work (more stops, a longer wait, a different destination, a larger vehicle) and we agree the extra cost, or if a third-party charge that applies to the route was not known at booking (for example an airport drop-off fee introduced after you booked). We will tell you before you incur it where we reasonably can.

If we quoted the wrong price because of our mistake, we will honour a clearly confirmed quote for that booking unless the error is obvious (for example a £5 quote for Edinburgh Airport). If we cannot run the job at that price we will tell you and you may cancel free of charge.

7. Refunds

If we cancel a booking we cannot fulfil, we refund any sum already paid for that ride, to the original payment method where possible.

If you cancel before a driver is assigned, we refund prepaid amounts for that ride. After dispatch or a no-show, we may retain a reasonable abort fee as set out in the Terms & Conditions.

If the service was not provided with reasonable care and skill, you have rights under the Consumer Rights Act 2015, which may include a repeat performance or a price reduction. Contact us with the booking reference. Refunds of card payments go back to the same card where Stripe allows it. Cash fares are refunded by a method we agree with you.

Chargebacks: if you dispute a card payment, tell us first so we can check the booking. Unjustified chargebacks may lead to the account being refused future prepaid links.

8. Failed, cancelled or incomplete payments

A cancelled Stripe checkout does not by itself cancel the ride. If you still need the car, complete payment or pay the driver. If you no longer need the car, cancel the booking as well so we do not dispatch.

If an online payment is pending at pickup, the driver follows the status we show them. They may collect the outstanding balance in the car if the link was not completed.

9. Security

Card data on pay links is processed by Stripe, which is a PCI DSS compliant provider. We do not ask you to send card numbers by email or WhatsApp. If anyone claiming to be Kelpies Cabs asks for a card number in chat, do not pay that way — use the link on your confirmation or pay the driver in the licensed vehicle.
